General information for presenters 

Technical Equipment

  • All presentation rooms at the congress venue are equipped with a desktop computer or laptop with audio-visual capabilities and internet access.

  • Please note that personal computers or laptops are not allowed.

  • To ensure a smooth session, locate your assigned presentation room in advance and submit your presentation file to the technical staff as early as possible – no later than the break before your scheduled session.

  • If you are facilitating a workshop, we recommend bringing your own materials whenever possible.

  • Poster presenters will receive assistance with setting up their posters on their designated day, and the congress organizers will provide the necessary materials.

 

Arrival & Preparation

  • Arrive early to familiarize yourself with your presentation space and submit your presentation file to the technical staff. This will give you time to resolve any technical issues before your session.

  • Poster presenters should deliver their posters to the designated space upon arrival on the morning of the designated exhibition day.

Instructions for presenters 

1. Paper Presentations

  • Total duration: 15-minute presentation + 5-minute discussion/Q&A.

  • Mode of presentation: In-person or virtual.

  • Important: The session chair will strictly adhere to the time limit, please plan your presentation carefully.

2. Panel Discussions

  • Total duration: 45 minutes, including 5–15 minutes for discussion.

  • Mode of presentation: In-person or virtual.

  • Important: The session chair will strictly adhere to the time limit, please plan your panel discussion carefully.

3. Workshops

  • Total duration: 90 minutes, including discussion/reflection time.

  • Mode of presentation: In-person.

  • Preparation: Arrive early to set up. Please, bring your own materials or liaise with the congress organisers.

  • Important: The session chair will manage the schedule strictly to ensure all workshops run on time.

 

4. Posters

  • Size: A1 (594 x 841 mm / 23.4 x 33.1 inches), Portrait or Landscape.

  • Mode of presentation: In-person and virtual.

  • In-person display: Posters will be displayed in a designated space within the venue for a specified period (as outlined in the Congress Program). Please, arrive early on the morning of your designated exhibition day to set up your poster in the assigned space.

  • Virtual display: All posters will also be uploaded to the congress website, please submit a digital version in advance (ideally by June 15).

  • Organiser assistance: Our team will be available to assist with poster setup and provide any necessary materials for installation.

  • Interactive & multimedia posters: We encourage you to create an interactive poster or incorporate multimedia elements. If additional equipment is required, please bring your own. Consider embedding a QR code in your poster for easy access to multimedia content. Please note that technical support for extra equipment will be limited.

5. Online Art Project Presentations (for art teachers presenting their art projects and lessons)

  • Format: Image-based gallery, audio-visual material, PowerPoint (.ppt) or PDF, accompanied by a brief or extended text.

  • Mode of presentation: Virtual.

6. Online Art Exhibition (for artists presenting an artwork or a collection of works)

  • Format: A single artwork or a collection of works presented as an image-based gallery, audio-visual material, PowerPoint (.ppt) or PDF, with a brief or extended text.

  • Mode of Presentation: Virtual.

Accommodation

Olomouc has a wide range of hotels which are located within a walking distance from the congress venue. Participants can also avail of the student residences (dormitory rooms) which will be vacant in the summer (holiday period).

Below, you will find two accommodation options:

 

1. Accommodation at the General Svoboda Dormitory (Šmeralova 12, Olomouc)

A total of 120 beds are reserved for congress participants until the end of May 2025. After this date, it will be open to the public. Congress participants interested in this option can begin registering now by sending an email to hotel@upol.cz

Please note that it is required to include the following in the email: InSEA 2025

The General Svoboda Dormitory offers hotel-style accommodation in units, each consisting of two separate 2- to 3-bedded rooms. Each unit includes a shared toilet, bathroom, and corridor, and is equipped with a kettle. A multi-bed room can also be booked for a single occupant. The price of the room depends on the number of people in the unit. Breakfast is not provided, but there are kitchenettes in the corridors where participants can prepare their own meals.

We recommend booking your accommodation as soon as possible to ensure availability.

Travel – nearest airport etc.

There are two nearest airport: Prague and Vienna. If landing to Prague, the trip to Olomouc is very straightforward, participants can take a train from Prague to Olomouc which takes about 2.5 hours and goes more than once every hour. There is a shuttle bus AE (Airport Express) that goes every 20-30 mins from Prague airport to Prague train station.  When landing to Vienna, participants can take a direct train to Olomouc or a Student Agency bus that takes about 3-4 hours with changing in Brno.

How to get to / around Olomouc

 

Olomouc can be easily reached by train or by bus. You can find all the connections on idos.cz (all public transport in the Czech Republic) or on the website of Czech Railwayor RegioJet or Leo Express, where you can also buy train tickets and make reservations.

Getting around Olomouc is also easy: either on foot or by public transport (buses or trams; information can be found on the website of Dopravní podnik města Olomouce)

The venue of the congress — the Palacký University Art Centre / Umělecké centrum UP, Univerzitní 3, is in the heart of the city. The closest tram stop is Náměstí Republiky.

We highly recommend that you use mapy.cz, which is also available as a mobile app. Maps can be downloaded or they can be used online.

Venue

The congress venue is the Palacký University Arts Centre located at Univerzitní 3, Olomouc, Czech Republic - right in the historical centre of the city - for more details on the venue, see here.
 
The Czech Republic is a popular tourist destination, known especially for the charms of its capital city Prague, its rich cultural life, valuable folklore and tradition, but also for its safety and accessible public transport.
 
The city of Olomouc boasts charming streets, museums, parks and a main square that counts among the most picturesque in the Czech Republic. It is surrounded by historic buildings and adorned with the Holy Trinity Column, a UNESCO-protected monument. Beautiful churches are scattered throughout the streets of the historic centre, as Olomouc was and is an important spiritual centre and the seat of an archbishopric.
 
Visitors to Olomouc can explore the foundations of the ancient Olomouc Castle and the valuable art collections in the Archdiocesan Museum. The experience of the beautiful city is completed by a unique set of Baroque fountains, as well as cafés, wine bars with Moravian wine and pubs with regional cheeses and beer delicacies from local breweries.
